About this policy

Leeward Select is a recruitment program operated by AYSO Region 269 (Leeward), part of Area 7E, Section 7 Hawaii of the American Youth Soccer Organization. This privacy policy explains how leewardselect.com collects and uses information submitted by parents and guardians of players interested in trying out for Leeward Select teams.

This policy is written to comply with:

• The Children's Online Privacy Protection Act (COPPA)
• AYSO National's Privacy Policy
• AYSO Safe Haven child and volunteer protection standards

Who submits information

Only a parent or legal guardian of a player may submit information on this site. Players do not submit their own information. By completing the form, you confirm you are the parent or legal guardian of the player named and that you consent to the collection and use of information as described in this policy.

What we collect

When you fill out the tryout interest form, we collect:

Parent or guardian information

• First and last name
• Email address
• Phone number

Player information

• First and last name
• Date of birth
• Gender
• Interested age division and gender group

Soccer experience

• Current team (if any)
• Current coach (optional)
• Years playing soccer
• Playing positions
• Preferred foot
• Self-assessed skill level

We also automatically collect basic technical information such as browser type and approximate region for security and abuse prevention. We use Cloudflare Turnstile to confirm forms are not being submitted by automated bots.

What we do not collect

We intentionally do not collect:

• Social Security numbers
• Government identification numbers
• Home addresses
• Credit card or payment information
• Medical or health information
• Player email addresses or phone numbers
• Player photos or videos

Why we collect this information

We use the information only to run the Leeward Select recruitment and team formation process. Specifically:

• Contact parents about tryout dates, locations, and next steps
• Help coaches evaluate players and make roster decisions
• Notify parents of roster offers, decisions, and follow-up
• Maintain records of interested families for future seasons

Who has access to this information

Access is limited to:

• The master site administrator for Leeward Select
• Coaches who have been invited by the master administrator, completed AYSO Safe Haven training, and agreed to abide by AYSO Safe Haven electronic communication policies

Coaches can only see prospects within their assigned age division and gender group. Coaches never have broader access than they need for their role.

We do not sell, rent, or share your information with third parties for marketing or any unrelated purpose.

Third-party services we use

To operate the site, we rely on:

• Cloudflare (hosting, security, bot prevention)
• SMTP2GO (sending email)

These services process limited data solely to provide their services to Leeward Select. They do not use your information for their own marketing purposes.

Electronic communication with minors

Consistent with AYSO Safe Haven standards, all communication about Leeward Select goes to the parent or guardian email address on file. We do not communicate directly with players through this platform. Coaches who contact families by phone, email, or text under Leeward Select are required to contact the parent or guardian, not the player.

Children under 13 (COPPA)

Because our teams include players under 13 years of age, the Children's Online Privacy Protection Act (COPPA) applies. Consistent with COPPA:

• Only parents or legal guardians submit information about players. Players do not submit information themselves.
• We obtain your verifiable consent through the consent checkboxes on the form before collecting any information about your child.
• We collect only what we need to run the recruitment process and do not require more information than is necessary.
• We never condition your child's participation on providing more information than is reasonably necessary.
• You may review, correct, or delete your child's information at any time by contacting us.

Your rights

You have the right to:

• Review the information we have about your family
• Correct inaccurate information
• Request deletion of your child's information from our records
• Withdraw consent at any time
• Unsubscribe from outreach emails using the link included in any outreach message

To exercise these rights, email us at the address listed at the bottom of this policy. We will process deletion and correction requests within 30 days.

How long we keep information

We retain prospect information for 18 months after the last activity on the record, unless:

• The player is placed on a roster, in which case we retain the record for team administration through the end of the season
• You ask us to delete it sooner
• We are required to retain it longer by law

Inactive records are automatically deleted after the retention period ends.

How we protect information

• All traffic to and from the site uses HTTPS encryption.
• Access to administrative functions requires email-based authentication with single-use, time-limited login links.
• Coach access is scoped to the minimum required for their role.
• Sensitive actions are logged for accountability.
• Database access is restricted to authorized server code only.

Public-facing content

We never publish player names, photos, rosters, or identifying information on public pages of leewardselect.com. All prospect data is kept behind authentication and is excluded from search engine indexing.

This site may link to external sites, including AYSO National, AYSO Region 269, or related resources. We are not responsible for the privacy practices of those sites. Please review their privacy policies directly.

Changes to this policy

We may update this policy to reflect operational, legal, or regulatory changes. Updates will be posted on this page with a new effective date and version number. If a change materially affects how we handle your information, we will notify you by email at the address on file.
